How does AI help you create a quote?

AI can draft a quote from a description of the work. It organizes the customer’s request, writes descriptions and adds prices. You can then review and edit the draft.

In DoneQuote, the draft uses your business information, services and prices. You check the work, quantities, prices and terms before sending anything to the customer.

What information do you give the AI?

Start with what the customer wants and the information you use to price the work:

  • The request: describe it yourself or use the customer's email or form submission.
  • The work: what is included, what is excluded, and any choices the customer needs to make.
  • Your pricing information: services, products, rates and relevant pricing instructions.
  • Supporting details: documents or photos that help explain the request.

You can import an existing price list into DoneQuote. Keeping service descriptions and prices up to date gives the AI better information for the next quote.

If the request is incomplete, DoneQuote's AI intake can ask the customer follow-up questions through an online chat. For example, it can ask about the location or quantity needed before the draft is prepared.

What does an AI quote draft contain?

In this example, a customer asks for an assessment followed by monthly support. Your catalog contains both services. The draft can separate the request into:

  • An assessment charged once.
  • Support charged each month.

Check the quantities and billing periods before sending. The quote should state what each service includes and when its charges apply.

You can make changes directly or ask the AI in ordinary language, such as “add the delivery charge” or “remove the optional support.” Review the result of an AI edit just as you would review the first draft.

Where do the prices come from?

DoneQuote uses your pricing information where it is available, including your catalog and prices you provide in the request. Missing prices need attention before you send the quote.

If your catalog has no price for a required item, DoneQuote flags it for you to price. If you have not added a catalog, the draft can use available reference prices as marked AI estimates. Those estimates need your review; they are not prices you have confirmed.

Check an unfamiliar item against your costs and the rates you charge. If you cannot price the job yet, ask for the missing information or quote a visit to investigate the problem.

What should you check before sending an AI-drafted quote?

Review the offer as a whole, with particular attention to:

  • Work and products: does the draft describe what the customer asked for?
  • Quantities and units: are the amounts correct, and are charges one-time or recurring as intended?
  • Prices: are the rates yours, and have you resolved missing or estimated prices?
  • Terms: are the exclusions and payment terms correct, and does the quote say when the price expires?
  • Planning: are the work steps and timing clear, including anything that must happen before you start?
  • Choices: can the customer tell which options are alternatives and which are extras?

Photos can help explain the request, but you cannot rely on them for accurate measurements. Confirm dimensions, model details and quantities yourself before relying on them in a price.

What happens after you send the quote?

The customer receives a link to the online quote. They can review the offer and approve it without creating an account. DoneQuote records the approval against the version they accepted.
